Remote Client Services Coordinator I

Description:

Remote, 1st shift (8:30 am - 5:00 pm CST)

Position Summary

The Client Services Coordinator I (CSC I) position is responsible for accurately processing and preparing case medical records from our customers and preparing case documents for specialists. This position works closely with all client service team members to manage the referral case load, including ensuring all intake is completed in a timely manner, obtaining necessary information from customers as warranted, clear up-to date documentation in systems and perform follow up to assist in maintaining satisfactory due dates. The CSC I will learn and become an expert user of eCase Manager (eCM), PDFO, and T4M2F applications. This position requires strict adherence to all company PHI policies and procedures as well as HIPAA Compliance.

Essential Functions

  • Prepare and organize multiple files of medical documentation in electronic records program for clinician review daily
  • Using department guidelines identify specific services requested from referrer
  • Create report templates for clinician review by following the client’s specifications received
  • Update referral data in eCM systems following both the customers’ specifications and R3 requirements
  • Send notices to attending physicians when requested on referral
  • Assign clinicians to cases they have accepted
  • Complete Quality Control (QC) checks of sorted files, both own work and that of peers
  • Send cases to clinicians using eCM
  • Complete due date reminders to clinicians
  • Document and maintain up-to-date status of work completed and all communication in the eCM system according to company standards, including billable and non-billable time
  • Manage daily follow up tasks with clients on missing information
  • Adhere to all company PHI policies and procedures as well as HIPAA Compliance

  • Participates in department and company meetings, as requested
  • Perform other duties or projects, as assigned
  • Overtime/Additional Hours – There are times in which overtime/additional hours will be mandatory due to an increase in work and the need to meet turnaround time frames

Requirements:

  • Ability to multi-task and adhere to deadlines when faced with multiple interruptions and sometimes stressful situations
  • Can confidently establish priorities based on workload, focusing on attention to detail and accuracy
  • Able to work independently and handle and resolve problems on own, but also know when to collaborate with staff and be a team player
  • Ability to assess the importance and relevance of information and effectively and efficiently share information and relevant detail to the appropriate persons
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Perform repetitive work according to set procedures
  • Perform effectively under conditions of fluctuating workload
  • Strong analytical and problem-solving skills
  • Proficient with Microsoft Office Suite or related software

Education & Licensing

  • Bachelor’s degree from an accredited college with an emphasis in Psychology or Business, preferred

Experience

  • Two years of previous experience in the medical/behavioral health industry and/or disability/workers’ compensation industry, preferred

Physical Work Requirements

Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
