Summary:The Event Specialist position exists in the Mid-Valley STEM-CTE Hub, which is administratively affiliated with the College of Science, Engineering, & Mathematics under the fiscal agency of Linn-Benton Community College. The position directly supports all MVSCH staff, including (but not limited to) the executive director and program coordinator. This position interfaces regularly with LBCC staff, education partners, P-20 students, and the general public.
The Event Specialist (ES) is responsible for organizing and managing Hub events that generate awareness, build relationships, and boost morale. The ES is responsible for conceptualizing ideas for events, creating and enforcing budgets, liaising with suppliers, communicating with clients, managing logistics, booking venues, preparing and presenting post-event reports, and ensuring events are executed to a high standard of quality. The ability to communicate and maintain pivotal relationships across a diverse customer base is critical to the effectiveness of this position.
Required Qualifications:Education and Experience: Associates degree and at least two years of experience in hospitality, public relations, or an equivalent combination of skills and experience with a proven track record of successful events.
Licenses: This position requires driving a program vehicle or a personal vehicle on behalf of the MVSCH. Therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, and self-report any driving convictions.

Demonstrated customer service focus, responsiveness to requests, and problem-solving abilities for diverse audiences. Demonstrated attention to detail. Excellent organizational skills. Ability to lead a large team and delegate tasks effectively. Meticulous attention to detail. Expert time management skills. Financial savvy, with the ability to adhere to plan budgets and process invoices. Demonstrated ability to organize reports, financial records, program plans, proposals, and correspondence successfully. Demonstrated ability to work independently with minimal supervision. Demonstrable commitment to promoting and enhancing diversity and inclusion. Commitment to ensuring that educational programs and outreach activities serve diverse populations, including those that have been historically marginalized/excluded from participation.
Preferred Qualifications: Bachelor’s degree in a field related to youth development, event planning, or related field. Previous experience with STEM-CTE outreach. Demonstrated ability to successfully interact with youth 3-24 years of age (Pre-k through 20th grade). Bilingual in Spanish.
Physical Requirements and Working Conditions:Flexibility to work evenings and weekends. Ability to transport up to 30 lbs. of instructional materials and/or equipment. Ability to travel.
The primary work location for this position is the MVSCH office in Albany, Oregon with frequent remote work.
- Essential Duties:Identifying clients’ requirements and expectations for each event.
- Brainstorming and implementing event concepts and themes.
- Preparing event budgets and processing invoices.
- Researching and booking venues.
- Organizing suppliers, caterers, staff, and entertainment.
- Coordinating all logistical elements of the event.
- Managing set-up, tear-down, and clean-up operations.
- Anticipating attendee needs and making preparations against potential risks.
- Developing post-event reports on the effectiveness of each event.
- Helps advance MVSCH’s mission across the entire region by developing relationships with partner agencies and departments in the region’s STEM-CTE ecosystem.
